The client
Members Only Shop Supplies is an auto-body and paint supply distributor in Paramount, California. Body shops join on a paid membership and buy at member prices. membersonlyshopsupplies.com (opens in a new tab)
The challenge
- Orders, products, inventory and invoices had to stay in sync with the company's ERP (OMS/Pavo).
- The owner wanted admins alerted by text and email the moment an order comes in, with the sales order and pick slip printed automatically.
- Orders taken in the field by door-to-door sales reps needed a customer signature.
- Paid memberships needed renewals that don't depend on someone chasing every member.
What we built
Ordering and accounts
- Membership storefront: shop, cart, 3-step checkout, deposits, coupons, ZIP and radius shipping rules, company accounts and reseller certificates.
- Membership renewals with follow-up: a declined renewal emails and texts the member, with a reminder every 3 days, 3 at most.
- Payments by card, Zelle and card on file, with a card fee.
Back office
- ERP integration with the OMS/Pavo API for products, inventory, orders and invoices, plus a nightly "day-close" that invoices the day's orders automatically.
- Invoices and pick slips as PDF and print, and a reload sheet per truck.
- A truck and van loading planner that tells drivers what to load per run.
- Encrypted daily backups, with an agent on the shop PC keeping local copies.
Customer contact
- A phone answering system connected to their phone line that answers from the live catalogue and lets callers interrupt naturally.
- Call console with recordings, transcripts and live suggestions; CRM and calling campaigns.
- Live chat with automatic answers and hand-off to staff, and an abandoned-cart follow-up.
- Text messages, WhatsApp alerts for admins and a jobs board for body shops.
Mobile app
- iOS and Android app with push notifications, built and signed through CI, live on the App Store and Google Play.
Results
- Every day's orders are invoiced automatically by the nightly close. After an update in October 2026, its first three runs invoiced 58 orders that were waiting, and a repair pass invoiced 10 more.
- Members, admins, drivers and sales reps work in the same system, on the web and in the iOS and Android app.
